Carrier coordination creates work at two important moments. When a customer quote request arrives, the team may need to identify suitable carriers, request fresh rates and organize the replies for pricing. Once a carrier is booked, the operation needs repeated follow-up for pickup, ETA, delivery and other shipment milestones—and those updates need to reach the transportation management system (TMS).
Shipflow’s Carrier Operator connects both loops. Before the booking, it structures the quote requirement, shortlists carriers that fit the lane and equipment, reaches out by email or supported phone workflows, and collects comparable rate responses. After the booking, it follows up with the selected carrier, captures milestone updates from the replies and writes the approved status information back to the TMS.
The workflow is especially relevant to high-volume Road operations, where carrier communication is frequent and fragmented. Your SOPs still define the approved carrier pool, information shared, outreach timing, rate and service boundaries, TMS permissions and the situations that need a person.
Rate collection supports quotation; it does not authorize a carrier booking. Status collection supports track and trace; it does not replace a confirmed carrier event or change a customer commitment without the required approval.

Read the quote request
Capture the lane, dates, cargo, equipment and service requirements needed to source the move. Ask for clarification or route missing information according to your SOP before contacting carriers.
Shortlist suitable carriers
Identify candidates from your approved carrier network using the lane, equipment and service requirements. Apply the eligibility and outreach rules defined by your team; the operator does not bypass onboarding or compliance controls.
Request rates by email or phone
Reach out to the approved shortlist through the channels configured for the deployment. Share only the permitted shipment information, follow the agreed contact sequence and record each outreach attempt.
Collect and structure the replies

Start from the carrier booking
Use the selected carrier, shipment milestones, contact details and expected schedule from the connected TMS or internal system. Confirm which events and communication channels belong inside the automated follow-up scope.
Chase the latest shipment status
Follow up with the carrier by email or supported phone workflow at the times defined by your SOP. Ask for the relevant milestone, such as pickup, estimated arrival or delivery, while keeping the shipment reference attached.
Capture ETA, pickup and delivery updates
Read the response and structure the operational status, timestamp and supporting context. Detect unanswered requests, contradictory information, missed milestones or changes that require judgment.
Write the approved status to the TMS
Update the permitted milestone fields and retain the source communication. Route delays, unclear replies and customer-impacting changes to the responsible person instead of treating every response as a confirmed status.
