Configured for your environment. Available interfaces, accessible records and permitted actions depend on your product edition, account permissions and agreed workflow.

Discuss your HubSpot workflow

Configured around your environment. Governed by your SOPs.

CRM context
Contacts, companies, deals and the relationships between those records.
Integration route
HubSpot CRM APIs with account-appropriate authentication and scopes.
Operational boundary
A deal update is not a confirmed shipment or permission to contact a customer.

Where integration creates value

Keep the customer conversation connected to the operation.

A quotation request can arrive before a sales owner has linked it to the right company or deal. Follow-up work then becomes scattered between the inbox, CRM and pricing team. Automating a record update without resolving those relationships can make the pipeline less reliable.

A Shipflow workflow can be scoped to match an incoming request with authorized HubSpot context, prepare a structured follow-up and return the agreed operational outcome. Keep customer ownership, deal-stage decisions and the TMS handoff explicit rather than treating every reply as a new opportunity.

Workflow opportunities

Start with the work you want to complete.

Quotation request enrichment

Match the contact and company, gather permitted deal context and prepare the requirements needed by the pricing team. Route ambiguous associations instead of inventing a new company match.

Tender follow-up coordination

Associate tender requirements and response progress with the appropriate commercial record. Prepare follow-up tasks without changing pipeline stages or customer commitments outside the agreed policy.

Illustrative workflow · subject to agreed scope

From a quote inquiry to a linked commercial follow-up

Illustrative workflow: an existing customer emails a new lane request and the team needs to coordinate the response in HubSpot.

  1. Resolve the customer

Use agreed identifiers to find the contact and company. Distinguish a new inquiry from an existing deal’s reply chain.

  2. Structure the request

Prepare lane, mode, timing and cargo requirements. Keep missing commercial information visible for the pricing owner.

  3. Prepare the CRM action

Propose the agreed property update or follow-up task and the intended record associations. Request review for ambiguous ownership or a stage change.

  4. Verify the linkage

Confirm the saved record and relationships after the permitted write. Reconcile a timeout before creating another task or deal.

Connection approach

Confirm the interface before the promise.

HubSpot’s CRM model uses objects, properties and associations. Association APIs connect records such as a contact, company and deal. Read and write requirements must cover the relevant objects and relationships, not just a contact lookup.

HubSpot’s current developer platform distinguishes OAuth for installations across multiple accounts from static authentication for a single account. Choose the supported app model with your administrator and grant only the required scopes. Webhook subscriptions, if included, need their own configuration and duplicate-event handling.

Setup requirements

What we confirm with your team.

Account and app model

Confirm the account, administrator, authentication approach and scopes for each required object.

Property and pipeline mapping

Provide internal property names, required values, pipeline and stage identifiers, and the permitted changes.

Association and ownership rules

Define how contacts, companies and deals match, and who owns a request when several records are plausible.

Trigger and recovery policy

Choose inbox or CRM triggers. Test duplicate requests, record merges, expired authorization and rate-limit responses.

Control and rollout

Make access and accountability explicit.

Do not turn every inquiry into a new deal

Check existing work and apply the team’s opportunity-creation policy before adding pipeline records.

Separate CRM writes from customer sending

Access to a contact does not grant authority to email that person or use the data for a different purpose.

Verify the associated records

A successful property write can still be attached to the wrong deal. Test the record relationship as part of completion.

Common questions

Before connecting HubSpot.

Does this change the website demo form?

No. This guide concerns customer operational workflows. It does not enable or alter Shipflow’s own website lead capture or notification setup.

Can we keep our existing pipelines?

Yes. Map to the pipeline and property definitions you authorize rather than creating a new commercial model by default.

Are custom objects automatically included?

No. Confirm the account’s entitlements, object schema and applicable scopes before including a custom object in the workflow.

Can it update records without sending emails?

Yes. Record updates and external communication are separate scopes. A first implementation can prepare internal follow-ups only.

Product names identify the systems discussed. This page does not imply vendor certification, partnership or endorsement. Supported actions and the implementation scope are confirmed with your team.
